How does this policy relate to you, and what is this policy about?
We are collecting personal data from you in connection with the provision by you of services (or in connection with your potential selection to provide services) in relation to an advertising or marketing campaigns, or other projects, for one or more of our clients. 
Please read this policy in order to make sure that you are happy with it. 
Some of the personal data that we ask you for can only be processed with your consent – application by you to provide services is voluntary but, if you do provide us with relevant information in connection with the potential provision of services by you, then we will take it to mean that you have read and understood the terms of this policy and that, where appropriate, you consent to use of your personal data as described in this policy.  If you are not happy with the terms of this policy, then you should not apply to provide the relevant services.  
 
What personal data will we collect?
We are only collecting personal data from you for the purpose of you being considered for selection as a provider of services in relation to an advertising or marketing campaign, or other project, for one or more of our clients or, if you are selected, for the purpose of facilitating the provision of the services concerned.  
Some of the personal data that is requested is essential for you to be considered and some (for example, relating to your health where this is required for insurance and related purposes) you may choose whether to share with us, or not (this will be indicated when the information is collected from you).
 
What do we use your personal data for?
Your personal data will be used for the following:
·       For the purpose of considering you for selection as a provider of services in relation to a marketing or advertising campaign, or other project, for one or more of our clients.
·       To help you while you participate in the selection process.
·       If you are selected, to facilitate the provision of the relevant services by you.
·       To facilitate the performance of a contract under which you provide services.
·       To comply with any relevant legal obligations to which we or our clients are subject.
 
How do we share your personal data with our client(s)?
If you are shortlisted for selection, or selected, as a provider of services in relation to an advertising or marketing campaign, or other project, for one or more of our clients, then your information may be shared with the clients concerned.  Otherwise, your information will not be shared, although we may report to the clients on general information regarding the applicants for selection and, for those purposes, your information may be used in aggregated, anonymised form (in such a way that you cannot be identified from it) – for example, we may report on the number of applicants and the proportion of the total falling into particular categories. 
 
Do we share your personal data with anyone else?
We may share your personal data with other third parties where this is necessary to enable those third parties to provide services to us, such as tasks that support us in providing our services.  In each such case, we will retain control of the use of your personal data, and we will have a contract with the third party which protects your personal data against unauthorised use or disclosure and allows the third party to use the personal data only in accordance with our instructions.
We may also share your personal data with others if we are required to do so by law or in any other circumstances where the applicable regulations specifically permit us to do so in the absence of your prior consent.
If any of our business is transferred to someone else (for example, because someone buys our business), then your personal data may be transferred as part of that transfer.  If that involves someone other than us becoming the controller of your personal data, you will be informed within a reasonable time.  In any case, anyone to whom your personal data is transferred will be required to continue to process it only in accordance with this policy.
 
How long will we keep your personal data?
We will keep your personal data for the duration of the selection process and (if you are selected) for the period during which services are being provided by you and until all obligations relating to the provision of services have been performed.  After that, except as outlined below, we will retain the information for a period of 6 years and will then delete it.
If you are short-listed for selection as a provider or services, or selected, then information will be shared with the relevant clients and will used by them for the purposes of the selection process and (if you are selected) the provision of the services. 
 
How secure is your personal data?
We are committed to maintaining the privacy and security of your personal information according to the terms outlined in this policy.  We will take appropriate technical and organisational measures against unauthorised or unlawful processing of your personal data and against accidental loss or destruction of, or damage to, your personal data, and we will make sure that any contractors of ours do so as well.
 
Where do we process your personal data?
We will normally process your personal data within the UK.
 
On what basis do we process your personal data?
We will process your personal data:
·       To the extent necessary for the performance of a contract to which you are a party (for example, where you enter a contract with us or our client to provide services), or in order to take steps at your request prior to entering such a contract.
·       To the extent necessary for compliance with a legal obligation to which we or our clients are subject (for example, confirming your right to work in the UK).
·       To the extent necessary for legitimate purposes pursued by us and/or our clients in connection with your selection to provide, or the provision by you of, services in relation to an advertising or marketing campaign or other project.
·       Where your prior consent is required for the processing of certain particular types of data (for example, data relating to your health that is collected for insurance and related purposes), in accordance with your consent.
 
What are your rights in relation to your personal data?
You may at any time and in relation to certain types of processing carried out by us, ask us to stop or, where relevant, withdraw your consent to, the processing of your personal data.  To do so, you should use the contact details below.  
Once you ask us to stop or your consent is withdrawn, we shall not process your personal data any further unless and to the extent that we are permitted to do so under the relevant data protection regulations (in which case we will inform you accordingly). If we have previously disclosed your information to any relevant clients (other than on an aggregated, anonymous basis), we may not be able to stop them continuing to process it and you may need to contact them in order to ask them to do so.
You have the right to access any personal data that we process relating to you. We may ask you to verify your identify before we provide access to the relevant personal data.  You may also in appropriate circumstances have the right to restrict the processing of your personal data, or to portability of your personal data, if applicable.
We would like to ensure that your personal data is accurate and up to date.  If any information that you have provided to us changes (for example, if you change your email address), please let us know.
